Open Door Veterinary Care in Asheville, NC is seeking an experienced and qualified Practice Manager.
We promote access to veterinary care for cats and dogs for all residents to decrease the chance of pets not receiving care, being surrendered to an animal shelter, or euthanized when families experience unexpected veterinary medical costs.We donate back into our Stay Together Fund which helps those who may need some additional financial assistance in times of a medical emergency. The Practice Manager is responsible for the business activities of the practice including: hiring and training support staff, ensuring good culture, preparing financial statements and budgets, monitoring and evaluating key performance indicators and goals, maintaining inventory and an inventory control system, managing the hospital software and implementing safety and security procedures. The fundamental responsibility of the Practice Manager is to effectively use all available resources to provide the best possible patient care to animals treated/handled by the clinic, as well as to ensure the profitability of the practice and a good working environment.

FINANCE AND ACCOUNTING
Responsible for developing and maintaining the budget with approval from the Owners. Advise on the formulation and development of actions necessary to improve the effectiveness and profitability of the practice.
Works with the accountant in preparing financial statements, and providing information for tax planning and tax returns. Draw on expertise in determinations on business projection analysis and review, as well as investment assistance.
Review statements for trends and key performance indicators, bring to the attention of Owners any apparent financial problems, and recommend adjustments and corrections.
Sets goals for hospital performance based on previous performance and mission/vision; designs strategies for meeting these goals.
Supervises usage of practice software to ensure that client records are entered consistently and correctly.
Monitors and reports on accounts payable and receivable.
Establishes an inventory control system to assure adequate stocks of supplies ?are available; plans for periodic audits; negotiates best prices. Analyze and monitor the depletion rate of supplies and equipment.
Rectify financial issues that arise between our practice and our clients. Use a variety of methods in collection of delinquent accounts. Determine when special financial agreements are appropriate; ensure that agreements made are properly followed.
Assist Owners in hiring support staff, formulating job descriptions, setting salaries, scheduling.
Train, supervise and assist the staff in their performance of duties to effectively facilitate the care of our patients. Ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems and training/re-training staff as needed to meet these standards.
Schedule support team members to ensure superior patient care and client satisfaction while monitoring costs and overtime.
Develops and updates the employee handbook, written job descriptions, ?employee personnel files. Schedules and coordinates regular performance reviews.
Oversee auditing of client/patient records for completeness and accuracy of information and storage of records in accordance with the established records control schedules.
Conduct regular staff meetings.
Motivate and inspire the team to provide high quality care to the patients and clients.
Work well with all team members, resolve any staff issues and ensure that your actions support the hospital, the doctors, and the practice philosophy.
Communicates objectives, motivates staff, builds and maintains morale and cooperative working environment; maintains core values and standards.
Promotes a client-centered environment and facilitates programs and processes that meet client needs.
Maintains the practice philosophy for attracting new clients and retaining existing clients.
Facilitates resolution of client problems as needed.
Professionally answer client inquiries in a prompt and friendly manner.
Periodically review reception operations for efficiency and accuracy.
Initiates new programs and markets services through public relations campaigns in conjunction with Owners including, but not limited to, ensuring staff provide good stories and pictures for social media and helping with client email campaigns, radio ads, and developing promotions.
Promotes marketing programs to increase client/patient visitation rate.
Develops a schedule for hospital maintenance; contracts for and supervises all maintenance activities to ensure that practice medical standards are met.
Orders and supervises storage of non-medical supplies.
Develop and maintain procedures necessary to meet regulatory requirements. Remain knowledgeable regarding related federal and state animal health laws and regulations including but not limited to OSHA, DEA, EEOC, ADA, and Dept of Labor. Inform owners of any regulatory issues. Maintain knowledge of requirements for maintaining facility and staff licensure.
Performs other duties as assigned.
SKILLS AND KNOWLEDGE
Feel and express a genuine liking for animals and for working in an animal care environment.
Must be able to work under the broad general administrative supervision of the owners and doctors, and to be able to use sound personal judgment in selecting methods, establishing priorities, and arriving at conclusions. Must be able to tactfully demonstrate “take charge” capabilities.
May be required to work uncommon hours, overtime, and be subject to recall in ?emergency situations.
Can effectively direct, guide and assist a group of individuals. Ability to make fair and just recommendations in regards to personnel issues and/or disciplinary action.
Requires strong client service skills and non judgement towards our clients. Considerable tact and diplomacy is required.
Be flexible in attitude and work habits.
Quickly learn how to pronounce, know the meaning of and spell commonly used veterinary terms.
Perform basic computer skills, type 45 words per minute and to use a 10 key calculator.
