Allentown Animal Clinic is currently seeking a new Practice Manager. The Practice Manager is the cultural, financial and operational leader of the Hospital. The Practice Manager works in partnership with the Lead Veterinarian and CVP to ensure a high level of medical care for patients, excellent customer experiences for our clients and a supportive, productive work environment for hospital team members - leading to the clinical, operational and financial success of the hospital.
Essential Duties & Responsibilities:
Oversee staff recruitment, hiring, training, scheduling, performance evaluations, counseling, and terminations and other human resource functions.
Manage annual performance evaluations. Responsible for performance evaluations for supervised staff with the assistance of the department lead.
Develop, implement, and maintain Employee Safety and Disaster Plan procedures and manuals.
Assure compliance with OSHA and Workers’ Compensation programs.
Distribute all necessary communication materials with staff, including policy changes, relevant information discussed at meetings, and client feedback.
Lead a monthly staff meeting designed to update the team on hospital and CVP developments and performance, seek and address feedback from the team and continually improve operational effectiveness at the hospital.
Oversee inventory purchasing, tracking and management within budget guidelines. Responsible for organizational planning and strategy of the hospital so that you are also proactively monitoring, analyzing and adjusting to ensure the budget goals are achieved
Create a positive and supportive work environment that nurtures personal responsibility, values contributions from every team member and holds them accountable for their responsibilities.
Communicate routinely with CVP leadership and with hospital team members on issues or developments at the hospital. Respond to client concerns in a timely and appropriate manner. Resolve medical client complaints in partnership with the Lead Veterinarian.
Guide and implement marketing activities in partnership with CVP and the Lead Veterinarian.
Assure premises, plant and equipment meet professional and aesthetic standards and are in safe, clean and optimum working condition, including the scheduling of regular maintenance.
Responsibility for risk management - assure compliance with all regulatory requirements including safety procedures, radiation monitoring, business permits and licenses, and animal control ordinances.
Administer the hospital’s patient reminder system.
Oversee implementation of client wellness program and guidelines and monitor compliance in partnership with CVP by maintaining, and when necessary, amending the client education information.
Monitor the hospital email.
Manage the use of and training provided for the hospital practice management system.
Complete additional hospital projects as assigned.
Responsible for developing and executing a strategic plan with long and short-term goals designed to improve the growth and operational effectiveness of the hospital.
Lead the yearly hospital budgeting process and monthly P&L reviews. Discuss weekly operations and financial reports with CVP and the lead Veterinarian.
Submit capital expense requests per CVP guidelines.
Prepare the weekly Business Package for submission to CVP.
Manage bi-weekly payroll process.
Oversee daily cash and check deposits and manage local banking relationship.
Bachelor’s Degree or commensurate experience in a veterinary leadership capacity.
3 – 5 years’ experience managing a multi-doctor veterinary practice
Must be able to work mornings, evenings, weekends and after hours as needed.
The fundamental responsibility of the Practice Manager is to effectively use all available resources to provide the best possible patient care to the animals that are treated/handled by the hospital, as well as to ensure the profitability of the practice.
